Interim Event Services Manager

TITLE:                         Interim Event Services Manager

TO:                              Director of Events & Ice Programming

DEPARTMENT:           Event Services

STATUS:                     1-year Contract



Working co-operatively and collaboratively with all departments, the Interim Event Services Manager, will provide oversight and management of OVG360 guest services and security personnel. The Interim Event Services Manager will coordinate all communication between the event and security staff, and all required departments, create action plans, delegate assignments to the appropriate personnel, and be responsible for and ensure safe and enjoyable overall customer and lessee guest experience. The Interim Event Services Manager serves as a liaison between the facility and customers, tenants, and promotors ensuring all requirements are met or exceeded, and ensures all facility rules, regulations and policies and procedures are adhered to. This position is responsible to hire, mentor, retain, supervise, train, discipline and/or terminate associated part-time Event and/or Security Services staff, including Event and/or Security Supervisors. There are times that it may be required to work extensive hours including nights, weekends and holidays.



·        Understand and work within the framework of all existing Collective Agreements, as it relates to applicable staff.

·        Coordinate and communicate all relevant information for assigned events, including preparing staffing plans, event details sheets and facilitating staff briefing notes.

·        Responsible for creating, implementing and distributing shift availability sheets for event staff, as they pertain to the union agreement on a monthly basis. Ensuring that all details outlining staff expectations are clearly and concisely stated.

·        Preparation and distribution of staff schedules on a monthly basis, incorporating staff availability; as well as adhering to all event requirements outlined by the Director of Events and Ice Programing.

·        Oversee all staffing deployments on an event-by-event basis, including all timesheets and break sheets.

·        Oversee preparation of and input of, payroll requirements for all Event Services and Security Personnel.

·        Review and update Event Services Manuals; as required.

·        Prepare post event and incident reports for all events coordinated.

·        Preparation and submission of expenses for event settlement; if applicable.

·        Track and monitor all event staff deployment activity including shift deployment rotation.

·        Distribute and track all staff uniforms and work gear.

·        Oversee all Event Services equipment, maintaining the operation, condition and security of all departmental assets - including but not limited to radios, scanners & hearing assist devices.

·        Provide exceptional customer service adopting Oakview Group Customer Service philosophy and respond to all fan and staff inquiries in a timely and efficient manner.

·        Hire, train, supervise and evaluate all event staff including ushers, ticket takers, fan services, supervisors, security and parking.

·        Liaise between St John Ambulance volunteers, outsourced security, as well as the Durham Regional Police as required based upon the event – provide them with all of the necessary equipment and information.

·        Ensure any/all security measures are taken including pat-down, bag checks and ID checks, in addition to requests from either the Director of Events & Ice Programing or Production/Artists Security team.

·        Conduct team briefings and training sessions as assigned.

·        Lead, direct and inspire all event and security team members.

·        Perform regular inspections of all assigned and deployed positions; ensuring the safety of all fans and staff members at all times.

·        Write reports; ensuring the accuracy of reported data and proper presentation.

·        Maintain a secure and inviting environment throughout the Tribute Communities Centre at all times.

·        Act as ambassador for OVG360 and the City of Oshawa.

·        Support all departments with fan related escalations as required.

·        Adhere to all OVG360 service standards and policies, including Health and Safety.

·        Work in compliance with the provisions of the Occupational Health and Safety Act.

·        Perform any additional tasks as assigned by management including but not limited to working with AutoCAD and IATSE Local 58 in support of the Director of Events and Ice Programming.



·        Minimum 2-4 (two to four) years of increased responsibility and experience in Event and/or Facility Management.

·        Minimum two (2) years of experience in a Supervisory/Management role within a Unionized environment is considered an asset.

·        Knowledge of supervisory principles, with an emphasis in working with, mentoring, retaining and training part-time staff.

·        Candidate should be a detail-oriented individual who possess leadership, supervisory and organizational skills and be able to function in a multi-tasked, multi-faceted environment.

·        Have or be willing to obtain a valid security license and possess demonstrated knowledge of crowd management and crowd control techniques.

·        Have a “Lead by Example” philosophy and work with enthusiasm and professionalism at all times.

·        Proficient in the use of AutoCAD is considered an asset.

·        Possession of/ability to obtain a Smart Serve certificate.

·        Possess a valid or be willing to obtain a Standard First Aid w/CPR C + AED certificate.

·        Possess a valid G level driver’s license.

·        Experience in payroll software specifically Enterprise considered an asset

·        Strong written and oral communication is vital.

·        Proficient in the use of all Microsoft Office programs including Word, Excel and Outlook.

Conversion Staff

As a valuable member of the Conversion team, you will deliver championship service throughout the organization.  Under the direction of the Operations Manager/Conversion Supervisor, you will be responsible for the setup/take down of the Facility events.

DEPARTMENT: Operations


  • Convert seating, boards, glass, staging, etc. between events/games in a safe, timely and efficient manner
  • Communicate positively and professionally with internal customers and co-workers to meet organizational goals
  • Ensure work area and equipment is clean and organized at all times
  • Work diligently to ensure the safety of self and others at all times
  • Adhere to all Spectra Venue Management service standards and policies
  • Perform all other duties as assigned


  • Available to work the overnight shift and weekends with some flexibility for late afternoon shifts
  • Previous experience in general labour/construction is an asset
  • Ability to work while under pressure; meet tight deadlines
  • Must be able to bend, stretch, move in repetitive motions, etc.
  • Able to lift a minimum of 50lbs unaided
  • Safety boots required, Uniform top provided
  • Positive team spirit and a professional winning attitude
